Free fields are user definable codes that can be used to flag items such as assets, hire goods, fringe benefits, and cash payments for payroll. During data entry if a code is placed in a free field and is not setup, a pop-up window will appear with current free fields listed. After completing data entry, the new free field should be set-up to maintain consistency. You can insert any new codes from the screen below.

  • Insert - Add a new free field.

  • Change - Change a highlighted free field.

  • Delete - Delete a highlighted free field (only if it is not being used).

  • Reports - Create a free field report. See also Reports.

  • Excel - Paste the selected record/s into MS Excel worksheet.

  • Select All - Selects every entries that appear on list.

  • Help - Provide online help on selected topic.

1. In the Main Menu Bar select Control Table > Free Field


2. Click on Insert and enter a one-digit alpha code that represents item being flagged. Usually the first letter of the description. The ID code for a Free Field can only be one character long.


3. Enter the description of items to be flagged.

The description of the free field can be changed. To change the description is only a cosmetic change, though the 'ID' is usually directly related and may cause confusions to other uses.


Tip:  The choice of Free Field codes is purely a personal choice and in no way affects the integrity of your information. Eclipse comes with Free Field codes already setup for you. These codes are only suggestions and the user is in no way obliged to use these codes. If these codes do not suit your system you should change them accordingly.
