One feature of Eclipse is you can upload supporting documents to the software and it will attach themselves to the corresponding transaction. Which means if you have a query there is no need to pull the original documents. This saves Auditors and In-House Execs the hassle of pulling that one box all the way from that one storage company, saving loads of hassle. It's a great way to get on an Auditors good side from the beginning;)
There are three parts to scanning:
First of all you need to print barcode labels to attach them to the documents.
Then you need to change some settings in Eclipse to recognise that you intend to use the scanning feature. This allows you to enter the barcode sticker number at the time of entry.
Lastly you scan the documents and upload them into Eclipse.
1) Printing Barcode Labels
Download the 3OF9.TIF font file found below into your fonts folder. Then install the font on your computer:
Windows - Control Panel > Appearance and Personalization > Fonts
Mac - Applications > Font Book, drag font file into Font Book application, then open and select Install font when prompted
2. Download and open the BARCODE.xls Excel spreadsheet below. You should be able to see the barcoded labels. If you do not see the barcodes, you may need to restart your computer in order for them to be properly installed.
3. On the barcode labels, make sure your starting number and prefix numbers are accurate (section highlighted in red). You must use the appropriate prefix depending on the transaction type, see the key to these prefixes on the labels. It is very important that you NEVER print off duplicate barcode labels.
Print the barcode sheets on Avery L8651 labels. Very important the barcodes must be printed on a laser quality printer, not an InkJet printer.

2) Eclipse Configuration
You must first enable scanning inside Eclipse by going to Control Table -> System Defaults -> Scanning tab, and checking the "Create Chq Attachment".
The AP Must have Barcode and PC Must have Barcode options will force the user to enter a barcode number when entering in invoices and petty cash.
3) User Configuration
Before you begin entering data into Eclipse, you must setup setup your user account to enable scanning. All users entering in data or pasting in templates will need to do this.
1. In Eclipse, select Control Table > User Entry Defaults.
Then under both Accounts Payable and Petty Cash/Per Diems tabs, tick the Hide checkbox next to Voucher field and leave Skip unticked.
This will allow you to enter the barcode number at the time of entering.
2. When entering Invoices or Petty Cash, put one barcode sticker on each Invoice or Petty Cash Form. Barcode stickers only need to be present on the first page of the individual transaction documents, meaning if you are entering an Invoice, you only need a barcode on the invoice, not on all corresponding backup documentation (PO, Sales Quote). The scanning software splits the documents up by barcodes, so when you scan a large stack of documents, the software thinks all paperwork that does not have a barcode sticker on it belongs to the preceding barcode.
When entering the Invoice or Petty Cash, the barcode sticker number that you have stuck to that Invoice or Petty Cash Form needs to be typed in the Attach field.
Do not to enter proceeding prefixes or zeroes into the Attach field. Sticker AP00001 can be entered simply as 1 in the attach field. Sticker AP000536 can simply be entered in as 536, etc.
If you are wanting to attach barcodes to entries that are not Petty Cash or Invoices (such as Journals) you will need to follow these instructions instead.
4) Uploading Documents to iEclipse
1. Once you are done posting your batch, take your stack of invoices or petty cash documents to the best scanner/copier in your office. Scan all the documents together into one PDF file, it must be done in greyscale and in 300 or 450dpi. Use the scanner preferences to email or save the file onto your computer.
2. Open iEclipse from one of the appropriate links below, based on your location. Login using your EzyPO account details (login).

3. In iEclipse select Accounts Payable > Vendor Master Maintenance. Then click the Upload Scan button. Find the scanned file on your computer and upload. Allow for about 10 seconds per page for the scan to upload.
Note: iEclipse requires access to the file in order to read the barcodes and split it between the transactions, so PDF's that are password protected will not be uploaded. Please remove the password on the files before uploading.

4. Then go into Eclipse and double-check that batch uploaded successfully. To do so go into General Ledger > Ledger Inquiry, in the Search Field type in the transaction number for the first entry in your batch and click Tab on your keyboard. A transaction line associated with that transaction number will now be highlighted.
Click on the Attachments Tab, click on the sticker file name and your attachment should be present. Run this step for both the first and last Invoice/PC in your batch. If attachments are present on both it is safe to say all the entire batch uploaded correctly.
If your scans did not upload, then you performed one of the steps above incorrectly. The most important items to remember is that you must print the barcode labels on a laserjet printer. You also must scan your batch in greyscale, 300 or 450dpi.
Other Helpful Scanning Instructions
