Paste Split PC form - VAT

If a petty cash purchase includes both VAT and non VAT items, you would first need to manually enter the tax amount for that line on your Petty Cash Envelope Form. The net value will automatically recalculate from this. The form can then be pasted into Eclipse as a split PC form so that in Eclipse the line is split into two, one showing the taxable portion & the other showing the non-taxable. 

 

System Settings Setup

1. To be able to import a split PC form, you will need to go into Control Table > System Defaults > Petty Cash and tick the Split Line to Bal GST checkbox. 

 

2. You then need to go into each of your currencies via Control Table > Currencies and select the tax code that you want to apply when your Petty Cash items are split. If these are not assigned then no tax code will be applied on the split.

Import PC Form

Once your System defaults are set up correctly, you can import the Petty Cash Envelope Form.

1. Open the completed Petty Cash Form Envelope Form.   See Completing the Petty Cash Envelope Form.

 

2. In the Eclipse main menu bar select Petty Cash > Petty Cash Entry.

 

3. Click the Insert button to start a new batch.

 

4. In the Excel Petty Cash Envelope Form select and highlight the entire form, select Edit > Copy to copy the entire spreadsheet.

 

5. In Eclipse, right-click in the body of the Unposted Petty Cash List window and select Paste Split PC Form.  The Petty Cash Envelope information will paste into Eclipse with taxable and non-taxable for any individual receipt, being split into two separate lines so that the tax for each line balances.

Continue to insert any Petty Cash Envelopes that need to be included in the batch.

 

Vat Lines when monthly VAT codes are used.

 

If you choose to not tick “Auto-create and balance all tax lines” in the system default settings, then you will have to manually add a VAT line to a Petty Cash entry where appropriate.

  • Before doing so, ensure that the indirect tax code (V) has been updated for the current month. It must be linked to the appropriate distribution code for this flag to be picked up.

  • Navigate to Control Table → Indirect Tax Codes.

  • Select the line for VAT, in most cases this will be “V”.

  • In the menu area called “distribution line clearing account” you will be able to see the chart code to be entered in your petty cash VAT line. If it is incorrect, or hasn’t been updated since the previous month, this is where it can be updated.

  • Select Ok to close.

When manually inserting a new line into your PC when the VAT has not automatically split, the VAT should balance if the correct and current distribution line code is entered.
