Export/Import Budget Worksheet in Excel

Eclipse allows Accountants to export the Budget Worksheet into Excel for safe keeping / version control or to complete multiple changes which can then be pasted back into Eclipse as an update to the budget and forecasts. This feature is effective in reducing time spent within Eclipse where multiple changes can be consuming.

The process of extracting the Budget Worksheet into excel is a very simple process, that only requires the selections to be made and then exported. The steps below explain how to complete the exporting and importing of the budget worksheet.

 

Exporting:

1. Navigate to the Budget Worksheet main page

2. Select all chart codes or use SHIFT + right mouse click from two points to select multiple accounts between a range or CTRL + right mouse click on singular chart codes to select specific chart codes. The screenshot below explains how to select all chart codes.

 

 

3. The selected chart codes are selected and highlighted in blue, right click the mouse and select Excel. The process will take 30 seconds to a minute depending on the size of the extracted data and open up in Excel. If you are on a MAC the Excel file will save into your predetermined folder allocated when setup was completed to save Excel files. If you are on a PC Excel should open up automatically unless within your settings you have determined to save to disk. In this case the Excel file will also be saved in the predetermined folder.

4. Once in Excel complete the necessary changes. Please do make sure to not amend the actuals column as these fields will not be copied back in. The only fields that can amended are:

Column J - Fringes

Column L - Estimated Final Complete

Column M - Budget

Column Q - Estimated Final Cost W

 

  • The Estimates To Complete column is not a field that can be manipulated as this field uses a calculation on the Estimated Final Cost and Budget to work out a total.

  • The Period Variance and Variance columns are also calculated fields with can not be edited

 

Importing:

Once the necessary changes have been made in the Excel template of the Budget Worksheet the steps below explain how to paste back in the changes.

1. Go to the Excel file and copy column A to Q and all of the rows required, excluding the header and footer of the report, as shown below. To copy in Excel, right click the mouse and select copy.

 

2. Go back into Eclipse in the Budget Worksheet main screen and right click in the main body and click paste, as shown below.

 

3. The updates will be pasted into the Budget Worksheet.
